As a Personal/ Administrative Assistant, you will work directly with the CEO and be an integral part of our team, contributing to the growth and success of our organization.
We are seeking a highly organized and detail-oriented Personal/ Administrative Assistant to support the CEO. The successful candidate will have excellent communication skills, exceptional organizational abilities, and the ability to work in a fast-paced environment. This role requires a proactive individual comfortable multitasking and working across multiple brands within our company. The ideal candidate should possess strong project management skills, a solid understanding of social media, and be adept at conducting research, planning events, and managing travel arrangements.
1. Support: Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, handling correspondence, and prioritizing tasks to ensure efficient workflow.
2. Brand Assistance: Assist in coordinating tasks and projects across multiple brands under April Mason Enterprises, ensuring smooth operations and timely completion of deliverables. Utilize project management tools to track progress, set milestones, and monitor deadlines.
3. Research: Conduct thorough research on market trends, competitors, industry news, and other relevant topics to support strategic decision-making and brand development. Compile and analyze data, preparing reports and presentations as needed.
4. Event Planning: Collaborate with the CEO and other team members to plan and execute various events, including conferences, product launches, and promotional campaigns. Utilize project management techniques to create timelines, manage budgets, and coordinate logistics.
5. Travel Coordination: Arrange travel itineraries, including flights, accommodations, ground transportation, and other logistics, as needed, ensuring all arrangements are well-organized and cost-effective. Monitor travel expenses and reconcile receipts.
6. Social Media Management: Assist in managing social media accounts, including content creation, scheduling, monitoring engagement, and responding to inquiries while maintaining brand consistency and upholding our brand values. Utilize project management tools to plan and schedule social media campaigns and track their performance.
7. Documentation and Record-Keeping: Maintain accurate and up-to-date records, files, and databases, ensuring confidentiality and easy retrieval of information when required. Develop and implement efficient filing systems and document management processes.
8. Miscellaneous Tasks: Handle ad-hoc projects and assignments, such as preparing presentations, drafting reports, proofreading documents, and providing general administrative support to the CEO and the team. Utilize project management skills to effectively plan and execute these tasks.
1. Proven experience as an Administrative Assistant or similar role, preferably working directly with top-level executives.
2. Excellent organizational and time-management skills, with the ability to prioritize tasks effectively in a fast-paced environment.
3. Strong attention to detail and the ability to maintain a high level of accuracy.
4. Self-motivated and proactive, with the ability to work independently and take initiative when required.
5. Exceptional written and verbal communication skills.
6. Proficiency in using productivity tools and software, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), project management tools, and social media platforms.
7. The ability to create and track project plans, set milestones, monitor progress, and manage deadlines.
8. Strong research skills and the ability to gather information from various sources.
9. Previous experience in event planning and travel coordination is highly desirable.
10. A flexible and adaptable mindset, willing to work on tasks beyond the scope of the job description when needed.

This is a part-time position that can turn into full time starting pay is between $12-$16 per hour.

- Must be available M-F and some weekends.
- High-Speed internet access.
- Tech-savvy (Dropbox, MS Office, Google Docs, Evernote, Asana, Kartra, etc.)
- Strong familiarity with content creation for Facebook, Instagram, Youtube and TIk Tok
- Smartphone with email capabilities.
- The ability to travel at a givens moment
- Must have reliable transportation
